ABOUT THE JOB:

The primary focus of this position will be providing administrative support to a Senior Vice President of Talent representing an exclusive talent roster.

JOB RESPONSIBILITIES:

  • Provide administrative support to the Senior Vice President of Talent, their managed talent and the VP’s team, including calendar management, scheduling meetings and calls, and arranging all travel itineraries
  • Track and maintain talent contact information and metrics on the internal database, talent one sheets and campaign decks
  • Work closely with the talent team on current partnerships to ensure all campaigns are monitored and seamlessly activated, including tracking contract deliverables
  • Work with the finance department to ensure invoices are submitted accurately and on time
  • Handle regular and consistent interaction with executives and talent
  • Additional responsibilities as required

BASIC QUALIFICATIONS:

  • 1-2 years Administrative Assistant experience a plus
  • Previous talent agency or related industry experience a plus (i.e. talent management, brand partnerships, PR)

DESIRED CHARACTERISTICS:

  • Superior communication, writing and verbal skills and the ability to effectively work with talent
  • Proactive, detail-oriented, and extremely organized
  • Adherent to deadlines and follow-through
  • Confident and able to understand deal memos between talent, brands, and executive team
  • Digitally savvy, extremely hard-working, problem-solving and culturally aware
  • Monitors and reads online media/news and blogs
  • Strong desire to work in talent representation

SKILLS:

  • Google Analytics experience a plus
  • QuickBase experience a plus
  • Traffic analysis tools such as HYPR and CreatorIQ a plus
